Lead and coordinate all aspects of conferences, regional events, tradeshows and other online/digital events (live and recorded webinars, recorded demos, SAP webcasts) for Utopia, including pre-planning, on-site execution (limited) and post-event wrap-up.
For convention event management, work with event organizers on sponsorship allotment, required deliverables and marketing materials
Create & manage the event checklist with deadlines and provide strong enforcement to keep each stakeholder responsible for meeting deadlines
Responsible for registration of on-site team at each event
Oversee floorplan selection & booth design/graphics
Management of general service contractors & ordering services for on-site installation (booth construction, internet providers, electrical providers, A/V)
Create & distribute the Briefing Document for the Sales/On-site team
Manage each event attendee list, segmenting by sales territories and make recommendations to sales team on notable customer and partner attendees
Create the website event landing pages (meeting/demo form, Meet Us landing page, event calendar)
Organize & manage onsite activities (dinners, receptions, meetings, etc.)
Manage conference speaking engagements/sessions (creation of presentation abstracts, speaking opportunity submission write-ups, quality control of all presentation decks, speaker bio write-ups)
Financial management responsibilities, including budget creation & monitoring of individual event expenses vs budget
Creation of event promotional emails to Utopias database
Manage project plans and ensure consistent communication with both internal & external teams regarding show updates, project milestones and deliverables
Take accountability to review and ensure adherence by Utopia and event organizers to all project documents, contracts and agreements
Negotiate contracts with show organizers whenever possible
Conduct pre-show briefing calls (US times) with Utopias team that is traveling to each event
Participate on event organizer/SAP pre-show calls (US times) and relay information to Utopia onsite staff
Manage customer and on-site staff meeting calendar
Manage all online/digital events such as webinars. This includes creation of landing pages, go-to-webinar registration pages, promotional emails, webcast/webinar facilitation/speaker introductions
All telephone communications will need to take place during US working hours.

Qualifications & Skills:
Bachelor's degree from an accredited institution
5-10 years of event management experience, with specific emphasis on planning conventions, tradeshows, general meetings and webinars
Must possess extremely strong English language written and oral communication skills
Experience with international meetings, tradeshows and conventions is a must
Excellent knowledge of the event industry terminology and comprehensive knowledge of meeting planning, tradeshows and registration processes
Strong familiarity with processes of event management companies including experience of having developed and implemented an event checklist
Project management experience to include meeting deadlines on time and on budget
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic HTML. A familiarization with marketing automation platforms (eg, HubSpot, Marketo) is required CRM experience is a plus
Very strong multi-tasking skills are required and ability to problem-solve and thrive in a very fast-paced environment is essential
Must have a passion for meeting and event planning, and are excited by the opportunity to work with multiple business units and event organizers
Ability to respond to a high volume of email communications that require 24-hour turnaround
Ability to effectively prioritize and execute tasks conforming to shifting priorities, demands and timelines
Must be self-motivated and a self-starter with strong interpersonal skills
Open to working inconsistent hours as needed
